Wedding Stationery Checklist

Preparing for your wedding day can be an exciting, yet overwhelming process. However, don’t let all the options of wedding stationery worry you because we are here to help! If you’re not sure what stationery to include, we have created a stationery checklist of the common (and optional) pieces to order before, during and after the big day. We will also cover the details you will need for each piece to make your wedding stationery experience a breeze!

Before the Wedding

Once you have found a venue for your ceremony, get started on your save the dates, and wedding invitations. The sooner the better in giving your guests more time and advanced notice about your wedding day.

Engagement Invitations

Engagement Parties are held to announce and celebrate the couple’s recent engagement with friends and family.

  • Have the engagement party no later than 3 months after the engagement.
  • Information to include: the names of the couple getting married as well as the date and address. Also be sure to add the name of the host and when to RSVP by.

Be My Bridesmaid Cards (optional)

  • Sending this card to the ladies who you want to be a part of your journey is a special gesture.

Save the Date

A Save the Date is sent to everyone who will be invited to the wedding so they can “Save the Date.” Aim to have these sent out at least 6 months before the wedding or up to 12 months out for a destination wedding.

  • Types of Save the Dates: Magnet, Photo card, Postcards and E-mail.
  • Information to include: the couple’s names, wedding date and the city and state of where the ceremony will be held.
  • If you have a wedding website, add this information to provide your guests with all of the details to prepare for the big day. (optional)

Wedding Invitation Suite

Begin shopping for your Wedding Invitation stationery roughly 8 months out from the wedding day.

Wedding Invitations

This is the key piece to the suite and is a detailed and formal announcement of your wedding day information.

  • Information to include: the names of the couple, wedding day, date and time as well as the venue name and address. Need help with wording? Visit our Stationery Etiquette page
  • Mail your wedding invitations 8 - 10 weeks prior to the wedding date for local weddings and about 12 weeks in advance for destination weddings.

Response cards

A response card is used for your guest to RSVP to your wedding, as well as helps organize your headcount for the reception. The response date should be set about 4 weeks prior to the wedding date.

  • RSVPs can be sent electronically, as a postcard reply or with an envelope for guests to send back to you. TIP: Have your envelopes for the response card pre-addressed and stamped for a quick reply.
  • Information to include: a space for your guests to write their names, accept/decline line, entrée selection with a list of entrees for your guests to choose from.

Enclosure cards

An enclosure card is a separate card from the wedding invitation that provides your guests with specific details for the wedding day. Examples of uses for an enclosure card would be:

Reception card - A reception card is included when the wedding ceremony and reception are going to be held in two different locations.

  • Information to include: time, date, venue name and address
  • Attire information

Directions card - A card that includes concise directions as well as any provided transportation service.

  • Information to include: the address for the ceremony and reception and the driving directions to the venues. You can even include a map.
  • If you plan on providing transportation for your guests, be sure to include information such as the pick up/drop off times, location and how transportation will be arriving.

Accommodations card - An accommodation card provides helpful details for out of town guest.

  • Information to include: a list of nearby hotels with the name, address and phone number.
  • For group room blocks, provide the name or code of the discount guests to reference when placing their reservations.

Wedding events card - If you plan on having other activities during your wedding weekend for your guest to attend, an event card should be added to your invitation set.

  • Information to include: a schedule of events with the times, dates and locations.

Belly Bands

Including a belly band is a great way to tie your invitation set together. Belly bands hold together all the components of your wedding invitation suite by completing the look and providing a beautiful presentation!

Wedding day Stationery

Begin to order these components once you have mailed out your invitations. Some of the stationery may have to wait until closer to the wedding to order because they may depend on the amount of guest attending.

Programs

A wedding program is a detail of information of what is taking place during the wedding. Start working on the details for your program about 1 month prior to the big day.

  • Information to include: Your names and wedding date, the names and titles of the wedding party, order of events, songs/hymns, welcome message, readings, memorials of loved ones.
  • Optional: Include a brief description for those guests who are not familiar with the ceremony rites.
  • Programs can be placed at the guest’s seat or laid out decoratively for guests to take.

Place Card/ Table Numbers

Place cards are printed cards that inform guests where to sit at the reception and are placed at the table in front of their seat. A table number is a printed card that designates each table with a number.

  • Be sure to set out the cards early and visible from the entrance of the reception.
  • Include the name of your guest on the place card.
  • Include the table number or name for table numbers.

Menu

A menu card is placed at each table for the reception dinner to let guest know what will be served.

  • Include the list of the courses and meals being provided.

Wedding Stationery for After the Wedding

You’ve said your I do’s and finally got hitched, but the last thing to do is to send out your thank you cards to express your gratitude to your guests and vendors.

Thank you cards

Thank you cards are sent to your guests who attending your wedding, vendors who you worked with, and to those who sent gifts.

  • Send thank you notes within 2 weeks after receiving a gift, if it is given before the wedding.
  • Wedding thank you cards can be sent out up to 3 months after the wedding.
  • Be sure to hand write your thank you cards as this makes it personal.

Jenn tells us about their choice in venue: "We had a few hiccups with our location. Originally, we were planning on a church wedding with the reception somewhere else (that's actually what is printed on our invitations) but we made some last minute changes (thank goodness for RSVP websites) and ended up having the ceremony and the reception at the Dillingham Ranch. It's a beautiful venue that has a lot of charm and it was perfect for us because we didn't have to do anything to make it gorgeous. We left the property do all of the wooing and it worked!"

Our ceremony was really special to the both of us. It was full of so much love, a few surprises and lots of happy tears. Our best friend officiated the ceremony for us, my uncle opened up with a prayer and a blessing, my dad surprised us with an amazing song that he performed with people from both of our families and we wrote our own vows. It was really important for us to be authentic to ourselves as individuals but to also honor and respect the love we have for one another and for our family and friends.

What advice can you offer to couples who are currently in the planning stage of their wedding? "Do what works best for the both of you. It's hard to really strip things down and try to figure out what you want, when everyone has an opinion, but honestly do what works best for the both of you. I got caught up in things (menus, seating charts, signs, straws, etc) and at the end of the day none of that was actually important to us but it was still hard to let go of the idea of what I thought I wanted for the wedding. Stay true to your love and do what makes you happy."

The biggest highlight of the day for the couple was their first dance in the rain. They tell us, "We pushed back and held our own about not renting a tent for the day and I know that it gave a lot of people anxiety but it was hands down the best decision we made about rentals because it resulted in the most magical moment, ever."

How to assemble your Wedding Invitations

Congratulations, you’ve completed designing your wedding invitations! Now it’s time to get to work at assembling and addressing envelopes. Be sure to give yourself plenty of time as the invitations should be mailed out 6-8 weeks prior to your wedding date. With all the details you may need to provide your guests, there may be a few inserts that you have included in the set. To ensure that you present your invitations to family and friends properly, we’ve outlined the traditional rule of thumb to help you in assembling your wedding invitations.

Assembled Invitation components

1. The wedding invitation should be placed at the bottom, facing right side up when pulled out of the envelope.

2. On top of the invitation should be your wedding invitation components, also facing right side up, and placed from largest to smallest. These cards can be placed on top of the Invitation as follows:

  • Reception/Details Enclosure Card
  • Accommodations Enclosure Card
  • Maps/Directions Enclosure Card
  • Response Card: place the response card underneath the flap of the return envelope. Note that the envelope should already have a stamped and be pre-addressed with the mailing address of whomever will be receiving these cards.

3. Once all pieces are gathered, complete the look by wrapping a belly band around your stationery. Our belly bands can be easily secured with the use of double-sided tape.

4. Lastly, insert your wedding stationery into the envelope, facing you right side up so this is the first thing your guests see when opening the envelope.

Additional helpful tips:

  • Before purchasing postage, prepare one completed invitation and bring to your local postage to ensure the correct postage for the envelope.
  • Mark your response cards with a number and match the number to your guest list. This will help keep you organized when you receive the cards, as some guests forget to put their names on the card.   • The envelopes should be hand addressed, printed or written in calligraphy. These are to be addressed using proper titles, nicknames and abbreviations are not recommended. Visit our blog on how to address your wedding invitations for more.

What to include in your wedding invitations

Your wedding stationery is the first impression of your marriage celebration. Finding the perfect stationery that fits your theme and style will set the tone for your special day. There are many key components that are included into your wedding invitations so as to provide your guests with all the wedding day details. Below we have broken down the components of what should be included in your wedding invitation suite.

Invitation components

Outer Envelope
Enclosed in the outer envelope are the optional inner envelope, the main wedding invitation, response card, and any enclosure cards you may have. Written on the outside of this envelope is the formal name and address of your invited guests and the mailing stamp is placed on the upper right hand corner. The return address can be included on the back flap of the envelope.

Belly Band
Belly Bands are a great way to complete the look of your wedding package by tying in your wedding stationery together and can be used in place of the Inner Envelope. The use of a Belly Band will help secure your inserts together presenting the suite nicely to your guests upon receiving your invitations.

Invitation
The main part of the wedding stationery, which provides the general information of who is hosting, who is getting married, the date, time and location of the ceremony.

Response Card
In order to know how many guests will be coming, a response card allows your friends and family to reply back with their attendance of the wedding. Whether you choose to send a card or postcard, be sure to have the envelope or postcard already stamped and addressed to whomever is in charge of the RSVPs, before placing them into the invitation set.

Enclosure Cards
There are many types of enclosure cards that you may provide your guest to give additional wedding day details. Other details may also be included on this card such as specific attire, alternate location and website information as well. Listed below are some popular uses for an enclosure card.

Reception card: If you plan on having your wedding ceremony and reception at two different locations, adding a reception enclosure card will help direct your guests after the ceremony with the venue name and address.

Accommodation Card: It is thoughtful to include an accommodations card with affordable nearby hotels for your out of town guests. Many couples may even have a specific hotel where they are holding a group rate. Be sure to include the name of the hotel, address, phone number, website and the established a rate code for your guests.

Directions and Transportation Card: This enclosure card can include a map and/or written directions to the ceremony and reception. If local transportation is available you can provide this information such as parking, public transit lines, and airlines.

Additional Wedding Events Card: If you plan on having other weekend activities for your guests to enjoy, including a weekend events enclosure card is the perfect way to provide these details. This card can provide guests with a schedule of events such as the arrival welcome dinner/reception, golfing with the groom or even the post-wedding brunch.

Our Real Wedding Bride and Groom, Aimee and Christopher, share their special day in Alberta, Canada, at the home of the Bride's family. When planning their wedding, their inspiration grew from the location not only because of the beauty and the simplicity the prairie held, but because this is also the same place the couple met and formed memories. The bride tells us “The rustic, handmade whimsy of the theme seemed to go hand in hand with our personalities, and the surroundings.”

The ceremony was on a scenic hill overlooking the Red Deer River, where guests sat on straw bales overlooking the river valley, and witnessed the couple take their wedding vows. Aimee tells us "Our ceremony turned our to be more beautiful than we could have imagined. Because we had an outdoor ceremony, we hired accordion player, Penny Sanborn (from Calgary, AB) to serenade guests, and accompany hymns. It was absolutely beautiful."

Afterwards a cocktail reception was held in a tent placed in the yard of the Bride's Parents. With the Groom being from Australia and Bride from Canada, the couple chose a cocktail style reception with no formal seating to ensure their friends from both sides got the best opportunity to meet and mingle. This provided a very relaxed, warm, and inviting party; which progressed into an awesome night of merriment!
